Working with Task Lists

Work order task management and monitoring is typically done through task lists rather than by reviewing individual task details.

Nextian providers pre-packaged, “generic” task lists, such as:

  • My Tasks — Active tasks (Ready and In Progress) assigned to the current user. Users rely on this list to track and manage their tasks.
  • My Overdue Tasks — Overdue (Ready and In Progress) tasks assigned to the current user.
  • In Progress Tasks — All tasks currently in progress, regardless of ownership.
  • Ready Tasks — All tasks that are Ready but not yet assigned or started.

In addition to these, team- or department-specific list views (e.g., Engineering Ready Tasks) are usually created during configuration of queues.

As tasks progress through different statuses, they dynamically move between list views:

  • When a queue-owned task becomes Ready, it appears in the relevant departmental list view.
  • Once assigned to a user (automated, manager-assigned, or self-assigned), it moves to the user’s My Tasks list and is removed from the department queue.
  • The users completes the task — the task is no longer shown in My Tasks list view.
